Daytime Notes Pro adds file attachments, team oversight, personal notes and configurable notifications to your workflow. This page covers those Pro features only. See the Free vs Pro page for a side-by-side comparison.
Pro includes everything in Free
Every feature in the free version comes as part of Pro including element-specific notes, threading, @mentions and task completion. Those features aren’t repeated here, so if you can’t find your answer on this page, check the Daytime Notes (Free) Documentation.

Pro Features
File attachments
- Attach images, PDFs, docs, spreadsheets, and zips to any note
- Stored privately, served through a nonce-protected handler — never a public URL
- Configurable file count and total size limits
Notes Manager
- Designate one user who sees every note on the site, regardless of assignment
- Once set, only that person can change Daytime Notes settings
- Everyone else only sees notes they created, notes assigned to them, or unassigned notes
Personal notes
- Mark a note Personal to keep it out of the general shared view
- Visible only to whoever the note was created for — not the whole team
- The Notes Manager can still see Personal notes, for full-site oversight
Configurable role access
- Choose exactly which roles can use Daytime Notes
- Grant individual users access regardless of their role
Flexible notifications
- Optional instant email on @mention, instead of the batched queue
- Choose the auto-send interval, or turn it off for manual-only sending
- Choose how task completions are announced: instant, batched, or off
Activity digest & task reminders
- Daily activity digest emailed to the Notes Manager
- Per-user opt-in reminders about incomplete assigned tasks
Export & maintenance tools
- Export all notes to CSV or JSON
- Clean up orphaned notes left behind by deleted pages
- Clear notifications stuck waiting on since-deleted users
Notes Manager & Role Access
Setting a Notes Manager
Under Settings → Daytime Notes, choose any eligible user as the Notes Manager. This user sees all notes site-wide and becomes the only person who can change Daytime Notes settings going forward — other administrators see a message directing them to contact the Notes Manager instead.
Allowed User Roles
Select which roles can use Daytime Notes at all — Administrator is always included and can’t be disabled. Individual users can also be granted access from their own profile regardless of role.
Personal Notes
Check “Mark as Personal” when creating a note to keep it out of the general shared view. A Personal note’s audience is fixed the moment it’s created: just you, and anyone you @mention in that original note. Replies within the thread can’t add anyone new — @mentions simply don’t function in a reply to a Personal note, so the audience can’t be expanded later by mentioning someone in a follow-up message.
Important: Personal notes are still visible to the designated Notes Manager. Personal means hidden from the rest of the team, not hidden from oversight — the Notes Manager role exists specifically so someone can see everything happening across a project, and Personal notes are part of that. If you need a note no one else can ever see, don’t assign a Notes Manager on that site, since a Personal note is only ever private from other regular team members.
Notifications
| Setting | Options |
|---|---|
| Send Emails Immediately | Off by default — when enabled, @mention emails send the moment they’re created instead of batching |
| Auto-send Pending Notifications | Never, every 1/4/8 hours, or once daily (default: every 4 hours) |
| Task Reminders | Off by default; users must also opt in via their own profile |
| Reminder Send Time | Any 30-minute increment, default 9:00am |
| Daily Activity Digest | Off by default; sent to the Notes Manager, with a manual “Send Now” option too |
| Task Completion Notifications | Instant email, batched with pending notifications, or disabled |
Instant assignment notifications
If enabled, triggered immediately by an @mention rather than waiting for the next batch. Includes who mentioned you, the note content, and a direct link to the page.
Activity digest
A daily summary sent to the Notes Manager — notes created, edited, and deleted in the last 24 hours, grouped by activity type. Can also be triggered manually with a “Send Now” button.
Task reminders
Opt-in, per-user reminders about incomplete tasks assigned to you, on a schedule you choose (daily, every 3 days, or weekly).
File Attachments
| Setting | Default |
|---|---|
| Max Files Per Note | 3 (set to 0 to disable attachments) |
| Max Total Attachment Size | 10MB (default which can be changed) |
| Delete Attachments on Completion | Off — files are kept for reference; a manual cleanup tool is also available |
Export & Maintenance
Exporting notes
Export every note on the site to CSV or JSON from the settings page — useful for reporting, archiving, or migrating data outside WordPress.
